We offer several options for scheduling appointments based on the type of appointment needed

New Patients

Please arrive at your scheduled appointment time so you can complete new patient information sheets before you see your child’s provider. The receptionist will make copies of your insurance card at that time.

Appointments Needed for Each Child Who Needs to be Seen

Frequently parents will schedule an appointment for one child, but then bring an additional child or children with them and request that the doctor see all of them at the same time. We schedule our appointments based on the time we think will be needed for each child. If you ask us to see an additional child at the same visit, this causes significant problems with our schedule. It also is frustrating to our other patients who will have to wait longer because their appointments are delayed.

To be fair to our other patients and to make sure we have adequate time for all of your children, when you call for your appointment, please let us know if this is an appointment for one child only or if you have an additional child who also needs to be seen. Please remember, that we will bill for each child seen by a provider.

Same Day Scheduling

This convenient scheduling option allows you to call in the morning and make an appointment for that day. Please remember that during high volume times such as flu season and back to school physicals, we may not be able to accommodate you that day.

Pre-Scheduled Physicals, Follow-Up Visits, Care Plans

For these types of visits we offer you the convenience of scheduling an appointment up to four months from the time you call.

Walk-In Patients

We do not accept walk-in patients. If your child needs to be seen, please call our office.

Appointment Reminders

You will automatically receive appointment reminders by phone for your next appointment unless you have opted to receive appointment reminders via text messaging. You may indicate your preference for text messaging at the time of your appointment or by calling your physician’s office.

Once your preference is entered into our system your preferred method of contact (phone or text) will be available to all of the Henry County Hospital Medical Group practices as well as Henry County Hospital services using the automated telephone appointment reminder system.

If you are a new patient and prefer to have reminders sent to you by text rather than a phone reminder, please notify the receptionist at your first visit of this preference. If you are an established patient with your provider’s office and wish to receive text messages instead of phone reminders you also can:

Referrals

If our provider determines that your child needs to be seen by a specialist, we will make the necessary referral and appointment. Prior authorizations may take up to 48 to 72 hours to process. We will make every attempt to ensure that your referral is to a provider or healthcare facility that is considered in network by your health insurance plan. However, because these networks are constantly changing, it is extremely important for you to contact your insurance company to verify that the provider and/or facilities are still considered in network so you will not pay a penalty for seeing an out of network provider.

Emergency Department and Urgent Care Visits Prior Approvals

Unless it is a medical emergency, many insurance plans require patients to call their Primary Care Physician (PCP) prior to going to an emergency room or urgent care center for treatment. If it is not a life threatening emergency, and you choose to go on your own without your PCP’s approval, coverage for the care provided to your child at that location may be denied.

In the case of minor injuries please call our office first and we will try working you into our schedule as quickly as possible to help you avoid an Emergency Department visit. You may be referred to an Urgent Care facility if there are no appointments available and you want your child seen “today” and it is not life threatening.

Missed Appointments

Keeping your appointment is important for the health of your child and to help us accommodate all of the patients who need to see us. While we recognize that emergencies arise, we urge you to notify us if you need to change your appointment. This allows us to adjust our schedule and see other patients who need to be seen by our providers.

For cancelation of a pre-booked appointment you must notify our office at least 24 hours in advance. Cancelation for same day scheduling requires a two-hour notification. If you do not notify our office within the required time it will be considered a “no show”.

We do document “no show” appointments in your child’s medical records. Three (3) “no show” appointments in any 12 month period (i.e. February to February, August to August) may result in your child’s dismissal from our practice.
